Overview:

The Barrie Chamber of Commerce invites proposals from qualified suppliers to provide Audio Visual, Staging, and Event Recording Services for the 2026 Barrie Women in Business Awards.

This formal luncheon gala features staged award presentations, keynote speaker, sponsor videos and live camera feeds.

Deliverables:

• Stage & Setup:

  • 16” high portable stage decks with skirting and draping

  • 8ft x 20ft stage footprint

  • Draping the width of the stage, floor to ceiling, grey & white

  • Large projection screen above the stage

  • LED monitors on either side of the projection screen

  • Additional LED screens at each of the far ends to aid sightlines for all in attendance.

  • Provide a floor-facing confidence monitor for MCs and presenters, displaying the same content as the main screen or other speaker-specific content as required.

• Audio:

  • Podium microphone

  • 3 wireless handheld microphones

  • Sound management for all presentations and videos

  • Background music for stage entry / exits

• Visual:

  • Sponsor reel playback (provided by the Chamber via USB)

  • Logo and/or animated logo projection on backdrop

  • IMAG (live feed to screens)

  • Use of in-house projectors

• Lighting:

  • Stage and ambient lighting suitable for a gala atmosphere

• Recording:

  • Full event video capture, including transitions between live feed and presentation media

  • Final event video, with sound and visuals (no editing required)

  • Final video due within 30 days
